After 12 years as a freelance sign language interpreter, I got tired of how manual and time-consuming the administrative work was. I juggled multiple scheduling systems, inconsistent invoicing processes, back-and-forth emails, and dealt with the frustration of being glued to my phone to try to get work. Agencies needed qualified interpreters fast, but sending out job requests and waiting for replies and then trying to distribute work fairly amd efficiently is a labor-intensive process. I built a full-stack scheduling platform specifically for sign language interpreter agencies. The system makes interpreter-job matching based on multiple criteria easier, handles recurring requests, manages credential tracking with expiration alerts, and includes complete billing workflows for both interpreters and clients.

Key Features:

Smart Interpreter Matching - The matching service evaluates interpreters against job requirements across 8 criteria: certifications, clearances, languages (with proficiency levels), specializations, availability blocks, exclusions, tier qualifications, and geographic proximity. Admins see qualified candidates instantly, with clear reasons for any disqualifications.

Multi-Tenant Organization Management - Customer organizations maintain their own clearance requirements, locations, consumers, and rate overrides. Agencies can serve multiple clients while keeping their data isolated and workflows customized.

Credential Lifecycle Tracking - Automated alerts for pending document approvals, expired credentials, and expiring certifications (30/60/90 day warnings). Admins can quickly see which interpreters need attention across multiple credential types.

Dual-Sided Billing System - Complete invoicing for both interpreters (time + differentials) and customers (billable rates by tier). Includes rate overrides, differential tracking (evenings, weekends, holidays), and full audit logging for compliance.

Recurring Request Support - Create requests with complex recurrence patterns (daily, weekly, monthly with custom rules). The system generates individual job occurrences automatically and handles modifications with scope control.

Technical Highlights:

Built a custom matching service that evaluates multiple qualification types while maintaining performance. Implemented proper soft deletes and audit trails for sensitive billing data. Designed a flexible rate system that handles tier-based pricing, time-based differentials, and organization-specific overrides. Used Pundit policies to enforce role-based access across 5 user types.

This project taught me how to model complex domain logic, design multi-tenant systems, and build features that solve real operational pain points. It's the kind of software I wish had existed when I was freelancing—and exactly the type of business application I want to build for clients.
